Why Connectivity Is the Most Overlooked Part of Going Cashless

You've picked the right payment hardware. Your machines are mounted, your QR codes are up, and customers are ready to tap and play. Then a Wi-Fi blip happens — and suddenly a guest is standing at the machine watching a spinner that won't resolve.

Connectivity is the invisible foundation of a cashless operation. When it works, nobody notices. When it doesn't, it's the first thing a frustrated player will mention in a review. This guide walks through the most common network pitfalls ArcadePay operators face and how to build a setup that holds up through a packed Saturday night, a summer storm, or a router reboot you didn't authorize.


Wired vs. Wi-Fi vs. Cellular: Know Your Options

ArcadePay devices are designed to work on both Wi-Fi and cellular connections, giving operators flexibility based on their venue layout.

  • Wi-Fi is the most common choice for indoor arcades, FECs, and laundromats with an existing internet plan. It's fast, low-cost to operate, and easy to manage through a standard router. The downside: it's only as reliable as your ISP and the quality of your router placement.
  • Cellular (LTE/5G) via a SIM-enabled device or a dedicated hotspot is ideal for vending routes, outdoor kiosks, mobile setups, or any location where a hardwired ISP isn't practical. Cellular coverage varies by carrier and geography — always test signal strength at your specific install location before committing.
  • Wired Ethernet isn't always feasible for a distributed machine layout, but for a central kiosk or a stationary redemption counter, a physical ethernet connection eliminates Wi-Fi dead zones entirely and is worth the cable run if you can do it.

Router Placement: The Most Common Mistake

The single biggest connectivity problem we hear from operators isn't about the payment hardware — it's about router placement. Routers shoved in a back office, blocked by thick walls, or sharing a circuit with high-draw equipment are constant sources of weak signal at the machine.

A few rules of thumb:

  • Line-of-sight matters. Every wall, metal cabinet, or large appliance between your router and your devices costs you signal. If your game floor is 40+ feet from the router closet, a Wi-Fi extender or a mesh node on the floor will pay dividends.
  • 2.4 GHz vs. 5 GHz. The 5 GHz band is faster but shorter range. If your devices are across the room or through a wall, connecting to the 2.4 GHz band often gives a more stable (if slightly slower) connection. Most modern routers broadcast both — ask your vendor or check your router admin panel to separate them.
  • Reboot cycles. Consumer routers left on indefinitely can degrade in performance over weeks. Put yours on a simple outlet timer that reboots it at 3 AM nightly — most operators who do this report noticeably fewer dropped-connection complaints.

The "It Was Working Yesterday" Problem

Intermittent connectivity is harder to troubleshoot than a full outage. If a device was working and suddenly isn't, work through this checklist before escalating:

  1. Check the router first. Has the IP address of the device changed? Some DHCP leases expire and reassign IPs. Locking your ArcadePay device to a static IP (or a DHCP reservation by MAC address) prevents this.
  2. Check for ISP maintenance. Your provider may have done a firmware push or brief service interruption overnight. Check your ISP's status page or app.
  3. Check other devices on the same network. If a phone or tablet on the same Wi-Fi is also slow, the issue is upstream — not the payment hardware.
  4. Power cycle the device. A full restart (unplug, wait 30 seconds, plug back in) resolves the majority of "stuck" connectivity states.

Multi-Location Operators: Keep a Network Map

If you operate three or more locations, maintaining a simple spreadsheet with the following columns per location will save you hours when something goes wrong:

  • Location name and address
  • ISP and account number
  • Router model and admin URL
  • Wi-Fi network name (SSID) and password
  • Device IDs and their static IPs (if assigned)
  • Date of last router reboot / firmware update

When your site manager calls at 7 PM on a Friday saying the card reader won't process, you'll have everything you need in one place rather than hunting through email threads for a router login you set up 18 months ago.


Backup Connectivity: Worth It at High-Revenue Locations

For locations where downtime directly costs you revenue — a busy FEC, a laundromat with 20+ machines, a high-traffic redemption counter — a cellular backup is cheap insurance. A basic LTE hotspot costs $20–40/month and can keep your payment devices running if your primary ISP goes down.

Some operators use a travel router with dual-WAN failover: the device stays on the primary ISP and automatically switches to cellular if it loses the main connection. This kind of setup costs a few hundred dollars upfront and is usually invisible to customers — they never know there was a problem.
