How To: Machines, Collections, And Prize Wins

When you service a stop, your ArcadePay dashboard keeps the cash collection window and prize counter in sync with what you actually emptied and counted. This walkthrough covers finding the machine, confirming it is online, marking a collection, resetting prize wins, and reconciling with Reports → Since last collection.

Open the dashboard at https://dashboard.streampay.dev. Screenshots below are from the mobile StreamPay viewport — desktop may look slightly different. On mobile, the per-machine tab may say Products or Pricing (desktop often shows Products & Pricing). Open Machines from the left sidebar (on mobile: open the menu, then Machines).

1. Go to a machine

  1. Sign in at the dashboard.
  2. Open Machines.
  3. Search by name or ID (the number on the ArcadePay sticker).
  4. Open the machine.
  5. Stay on the Dashboard tab.

On Dashboard you will see sections such as Basic Information, Cashlevel Box, Prize Count, and Locker Box (when configured).

2. Basic information

Confirm the right machine before you mark or reset: machine ID, location, and Connected. Connected means a heartbeat in the last 5 minutes. If the machine is offline, wait until it reconnects.

3. Mark a collection

Mark a collection when you empty the cash box — not on a calendar date.

  1. Open Cashlevel Box.
  2. Check Since Last Collection — cash since the last mark from coin/bill pulses. Match it to the cash in the box. Do not use Last 7 / 30 days for the pickup total.
  3. Write down or export cash (and cashless if needed) before Mark Collection.
  4. Tap Mark Collection.

That starts a new collection window. It does not delete history. Cash is pulse-based, not a guess — for odd rows, open the bill icon for raw pulses.

4. Reset prize wins

Use the Prize Count section. Reset only works with a prize sensor (typically Pulse 2). An easy coin-mech with no sensor stays at 0.

  1. Open Prize Count.
  2. Note wins since last reset, then tap Reset Counter.

Resetting prizes does not change cash or mark a collection. On a service stop: mark collection after counting cash, then reset prizes after noting them.

5. Reports → Since last collection

  1. Open Reports.
  2. Set the period to Since last collection.
  3. Use Both / Cash / Cashless as needed.

This filter matches the collection window you just marked — use it to reconcile after a stop or to see activity since the last mark. Broader ranges (Last 30 days, etc.) are for longer history.

When you service a stop

  1. Machines → open the machine by ID
  2. Basic Information: right machine, Connected
  3. Cashlevel: Since Last Collection → count the box → Mark Collection
  4. Prize Count: note wins → Reset Counter
  5. Optional: Reports → Since last collection to double-check
